Use ChatGPT or Claude to Write Polite Payment Reminder Messages in 5 Minutes
Do you have regular customers who bought on credit, on installments, or in bulk who haven't paid on time, but you hate the awkwardness of asking for money? This post shows you how to use ChatGPT or Claude, two free AI chatbots, to draft a set of payment reminder messages at different levels of firmness, from gentle to firm, in just 5 minutes. All you need is a computer or phone with internet access, no extra software required.
What you need
- ChatGPT (chat.openai.com) or Claude (claude.ai): both have free tiers that are enough for this task, just sign up with an email or Google account.
- A simple list of outstanding payments: customer name, amount owed, how many days past the agreed due date. A notebook entry or a simple Excel/Google Sheets file is enough, no accounting software needed.
- Know your relationship with that customer: a long-time regular, a new buyer, or a bulk/wholesale buyer. This decides whether the message should be soft or firm.
Step by step
Step 1: Open ChatGPT or Claude and describe your real situation
Don't just type "write a debt collection message," the AI will write something generic and cold. Describe the context clearly so the AI matches the right tone. Paste this prompt, replacing the bracketed parts:
You run a [type of business, e.g. online clothing shop] in Vietnam.
A customer named [customer name] bought goods worth [amount] on [purchase
date], agreed to pay by [due date], but it has now been [number] days
past due. This customer is a [long-time regular / first-time buyer /
bulk wholesale buyer].
Write 3 versions of a payment reminder message I can send over chat
(like WhatsApp or Messenger), at 3 levels:
1. A gentle nudge, like a friendly check-in (use when just a few days
past due)
2. A clear, polite reminder with a specific deadline (use after one
reminder with no response)
3. A firm but still polite reminder that states the next step if the
deadline is missed again (use after multiple reminders)
Tone: friendly, not sarcastic, not threatening, preserve the long-term
business relationship. Keep each message under 60 words, ready to send
directly from a phone.
Step 2: Read it back and pick the right version
The AI will return 3 message drafts. Read them out loud in your own voice, and if any line sounds "not like you," tweak a few words to make it natural. This matters because regular customers can usually tell right away if a message sounds robotic.
Step 3: Ask the AI for a version for wholesale customers or larger contracts
For wholesale buyers or contract customers, the message should be a bit more formal. Use this follow-up prompt:
Write one more, more formal payment reminder, meant to be sent by email
to a wholesale customer. Include: a greeting, a reference to invoice
[invoice number], the amount still owed, a new proposed deadline
([number] days from now), and a thank-you for the partnership. Do not
use a threatening tone, just state the facts and propose a resolution.
Step 4: Save these as reusable templates
Once you have a set of 3-4 messages you like, save them in a note on your phone or a dedicated file. Next time, just swap in the customer's name, the amount, and the dates, no need to write from scratch again.
Sample result
For the situation "regular online customer, owes $20, 5 days past due," the AI might return a gentle reminder like:
"Hi [customer name], just a friendly reminder that your order from [purchase date] still has a balance of $20. Whenever is convenient, please send the payment over. Thanks so much!"
And a firmer version after 2-3 reminders with no response:
"Hi [customer name], this is my second reminder about the $20 balance, now 15 days past due. If you're facing any difficulty, I'm happy to work something out together. Could you get back to me by [specific date] so I can keep my records straight?"
Tips for better results
- Always tell the AI the relationship with the customer (regular, new, wholesale), since the tone should be completely different for each.
- Ask the AI to write multiple levels at once, so you have a ready-made escalation path without having to ask again each time.
- If a customer usually responds by phone call instead of text, ask the AI for a short talking script too (an opening line, and how to handle a vague promise to pay "later").
- Keep sentences short and avoid legal-sounding language unless you genuinely need a lawyer, since overly stiff wording tends to backfire with regular customers.
Limitations to know
- Never paste sensitive customer data (ID numbers, full bank account numbers) into ChatGPT or Claude. A name and an amount are enough for the AI to write the message.
- AI only helps with the wording, it cannot make the business decision for you: whether to stop extending credit to this customer, whether an in-person conversation is needed, these calls are still yours to make.
- For large or long-overdue debts, or a customer showing signs of deliberately avoiding payment, this is when you need a lawyer or a licensed debt collection service, not threatening or harassing language on your own, since most countries have specific rules about what debt collection communication is allowed to say.
- Always keep a respectful tone, even with a late-paying customer. Someone who's late today could still be a loyal customer for years to come.
FAQ
Is ChatGPT or Claude better for this? Both handle short message drafting well, use whichever you're more comfortable with. Claude tends to write in a more natural, less templated voice when asked for a "friendly tone."
Do I need to pay to use this? No. The free tier of both ChatGPT and Claude is enough to draft a few short messages a day, no paid upgrade needed.
What if the customer still doesn't respond after several reminders? AI can't contact or handle the customer for you. At this point, a direct phone call is the next step, or for significant amounts, consult a lawyer or a licensed debt collection service for proper guidance.
Should I send exactly what the AI writes? Read it back and adjust a few words to match your own voice before sending, so the customer doesn't feel like they're getting a robotic message.
Does this also work for reminding customers about installment payments? Yes. Just change the situation description in the prompt from "bought on credit" to "on an installment plan, with [number of installments] remaining," the rest of the process stays the same.
